Job Description

Job Summary:

We are seeking a highly organised, proactive, and discreet Executive Assistant to provide comprehensive administrative and operational support to senior leadership. The ideal candidate will act as a trusted partner, ensuring smooth day-to-day operations, efficient communication, and effective time management.

Key Responsibilities:

Executive Support

  • Manage calendars, appointments, meetings, and travel arrangements for senior executives
  • Act as the primary point of contact between executives and internal/external stakeholders
  • Draft, review, and manage emails, reports, presentations, and correspondence
  • Prepare meeting agendas, take minutes, and track follow-ups.

Administrative & Office Management

  • Maintain confidential files, records, and documents
  • Handle expense reports, invoices, and basic financial documentation
  • Coordinate office operations and liaise with vendors and service providers
  • Ensure compliance with internal policies and regulatory requirements

Coordination & Communication

  • Assist in planning meetings, client interactions, and corporate events
  • Follow up with departments to ensure timely execution of tasks and deadlines
  • Support cross-functional coordination when required

Confidentiality & Compliance

  • Handle sensitive financial and business information with utmost discretion
  • Support compliance-related documentation and reporting as needed

Required Skills & Qualifications

  • Bachelor’s degree in Business Administration, Commerce, or a related field
  • 2–5 years of experience as an Executive Assistant or similar role (financial services preferred)
  • Strong proficiency in MS Office (Word, Excel, PowerPoint, Outlook)
  • Excellent written and verbal communication skills
  • Exceptional organizational and time-management abilities
  • High level of professionalism, integrity, and confidentiality

Preferred Skills

  • Experience working in financial services, accounting, or consulting firms
  • Familiarity with basic financial documents and compliance processes
  • Ability to multitask and work under pressure in a fast-paced environment
